Student Organization Assistant
Student Involvement is seeking a UWM student to serve in the Student Organization Assistant position. The Student Organization Assistant supports nearly 300 student organizations by facilitating administrative processes, maintaining the organization online system, and providing direct assistance to student leaders, faculty, and staff. This position has daily communication with students in student organizations. This position plays a key role in ensuring the efficient operation of student organization programs and the successful engagement of the campus community through PantherOrgs online platform.
Essential Functions
Student Organization Support
· Coordinate communications, sign-ups, confirmations, and information sharing with student organizations.
· Assist new and reactivating organizations with the registration process.
· Collaborate with the Assistant Director of Student Organizations to implement the annual fall renewal process, including collection and verification of registration forms, officer contracts, and membership enrollment.
· Review, verify, and update organizational profiles and data in the system.
· Compose correspondence and compile data for reports.
· Support student involvement initiatives, including the Involvement Fair and Student Organization Conference Night.
Org Online System (PantherOrgs) Administration and Training
· Provide training to students, faculty, and staff on the use of the org online system.
· Develop and update instructional materials, including videos and online resources.
· Offer additional training sessions tailored to specific features or user groups.
· Attend webinars and assist with implementing software updates or new features.
· Serve as a peer educator and subject matter expert, assisting users with troubleshooting and best practices.
· Maintain accurate and current system content, including events, forms, and images.
Other duties: Some evening and weekend hours are required to support major campus events sponsored by Student Involvement such as Student Organization Conference Night and various Fall Welcome events.
Qualifications
• Must be a currently enrolled UW-Milwaukee student with a 2.75 GPA or higher.
• Candidates must demonstrate a high level of responsibility, the ability to work independently, an appreciation for confidentiality and security of sensitive information, and a strong commitment to diversity and customer service.
• Knowledge of and/or willingness to learn about the operations and services of student activities and student organizations.
• Ability to communicate in a clear, courteous, and professional manner over email, in-person, or with colleagues.
• proficiency and working knowledge of Microsoft Office (particularly Excel).
Hours/Scheduling
• Approximate hours per week: 20
• Part-Time, Temporary
• No guaranteed summer, UWinteriM, or spring break hours
