Union - Travel & Grant Assistant - Student Involvement
Job Summary
Student Involvement supports student organizations, campus wide events and traditions, fraternity and sorority life, and other learning and leadership development experiences on campus and in the community.
The Travel & Grant Assistant will work closely with the Office Manager of Student Involvement to approve expenditures & arrange travel for student organizations.
Essential Functions of the Job
Primary Responsibilities:
- The Travel & Grant Assistant supports the travel grant process. This individual is responsible for working with student organizations to plan and book their travel and is directly supervised by the Office Supervisor of Student Involvement. Common duties include:
- Scheduling meetings with student organization travelers to book flights, lodging, and registration for conferences
- Work with hotels to ensure payment for rooms has been received, ensuring our students can check in to their rooms
- Share important safety information with student travelers
- Log & track expenses for student organizations
- Understand & follow university and state travel policies
- Organize receipts from purchases
Secondary Responsibilities:
- Prepare and process payment requests related to use of Student Involvement and Registered Student Organization funds
- Provide backup support to the Student Involvement front desk as needed
- Other projects as assigned
Qualifications
Required:
Knowledge and experience using Excel
Precise attention to detail and good organizational skills
Ability to self-motivate and work independently
Good written and verbal communication skills
Must be willing to work in a unit that requires a great deal of versatility, adaptability, and the ability to work under pressure
Must be enrolled at UW-Milwaukee with a minimum 2.75 Cumulative GPA
Preferred:
Experience with basic billing, budgeting payment and purchasing procedures;
Ability to explain complex financial ideas in simple ways to others
Experience with Office 365
Prior customer service is a plus
Ability to present oneself effectively in a professional, respectable, and friendly manner when communicating with diverse customers, supervisors, co-workers, and other student staff.
Ability to maintain a positive attitude when learning new skills and working with challenging customers.
Experience with PantherOrgs
Experience/participation in Student Organizations
Physical Requirements
- Primarily sedentary
- Occasionally support lifting packages
Working Conditions & Environmental Factors
Office environment with exposure to low-level noise and chemicals related to operation of equipment such as copiers, computers, and printers
