Administrative Coordinator

Administrative Coordinator / Office Assistant
Compensation: $23 - $30/hour
Location: Brooklyn, NY

We are a growing CPA firm seeking a reliable and organized Administrative Coordinator / Office Assistant to support daily office operations.

Responsibilities:

  • Answer phone calls and emails

       Coordinate and track tax return preparation workflow and deadlines 

       Communicate with clients regarding missing information and filing status 

  • Assist with payroll and administrative tasks
  • Coordinate with clients and staff
  •  
  • General office management duties

Requirements:

  • Fluent in English
  • Chinese speaking required (Cantonese and/or Mandarin)
  • Strong communication and organizational skills
  • Comfortable multitasking in a fast-paced office
  • Microsoft Office and basic computer skills required
  • Prior office or administrative experience preferred

Other Possible Responsibilities:

  • Schedule appointments and manage calendars
  • Follow up with clients regarding missing documents
  • Organize digital files and client folders
  • Upload and download documents through client portals
  • Prepare engagement letters and tax organizers
  • Track e-signatures and document status
  • Assist with billing and invoice follow-up
  • Process ACH payments and check deposits
  • Maintain office supplies and coordinate vendor orders
  • Coordinate tax return pickup and delivery
  • Handle mailing, FedEx, USPS, and certified mail
  • Assist with onboarding new clients
  • Update CRM and workflow/task tracking systems
  • Perform basic QuickBooks data entry
  • Maintain confidentiality of client information
  • Support partners and staff during tax season
  • Communicate with English and Chinese-speaking clients
