Administrative Student Assistant

Position Summary
Administrative Student Assistants will assist a professional full time IS Business Specialist and Work Order Center Manager with maintaining the computerized maintenance management system, TMA Systems, by keeping an accurate database of all facilities area records, labor, inventory, equipment, and work orders.
 
Qualifications
  • Maintain a cumulative 2.5 GPA
  • Be on good behavioral standing with the University.
  • Demonstrated qualities of leadership, responsibility, and maturity
  • Previous work experience with excel or other databases
  • Must have strong attention to detail, ability to follow directions, and be able to complete work assignments as a team member as well as work independently
  • Willingness to accept new responsibilities and challenges while learning in the position.
  • Must be able to work 15-25 hours/week, during the semester: Office hours Monday through Friday, 7am to 4:30pm (Summer hours 15-39 hours/week, same office hours)
 
 
Essential Duties
  • Enter labor and parts from daily timesheets and contractors into TMA
  • Monitor and make changes in the TMA Work Order System to ensure the department maintains accurate and efficient work flows
  • Aid in maintaining an accurate database of facilities inventory
  • Review incoming work requests and route the work through TMA
  • Invoice matching
  • Miscellaneous data entry


Additional Duties 
  • Work collaboratively with the various departments in Finance and Administrative Affairs
  •  Remain sensitive to others and maintain a genuine interest in working for the department and university’s best interests
  • Maintain a positive attitude toward staff and other student employees
  • Demonstrate qualities of leadership, responsibility, and maturity·     
  • Act as a role model for students and staff


Requirements 
  • Have basic computer data entry skills
  • Have good communication skills
  • Have good organizational skills
  • Willingness to learn the TMA database; prior knowledge of TMA is not required
