Union Business Office Assistant

Job Title: Business Office Assistant

Department: Student Union Administration

Supervisor: Union Administration Office Associate

Pay Rate: Starting at $10/hour

Hours:
  • Flexible shifts available Monday through Friday, 8 AM – 6 PM 
  • 15-25 hours per week during semesters and winter break 
  • Full time hours available during summer break (up to 40 hours per week)

Summary:
This position is responsible for providing office support for the Student Union Administration and Business Operations areas. In this capacity, this position will assist department staff with general clerical and financial procedures.

Responsibilities include:
  • Greet visitors on behalf of the Union Administration and Operations staff; Field and direct phone calls, emails and requests 
  • Perform general clerical duties, including filing, copying, scanning, sorting and delivering campus mail 
  • Assist with developing and maintaining financial records 
  • Perform billing process for the Student Union’s Event Services and Marketing Services; Generate and audit billing worksheets, invoices and ledgers via EMS (Event Management Software) 
  • Prepare and process internal direct charges for Union services 
  • Deposit payments and reconcile accounts receivable 
  • Assist campus departments and Student Organizations with billing and payment questions; Resolve issues and make referrals if appropriate 
  • Maintain office supply inventory and place orders on behalf of department staff  
  • Assist the Business Manager with accounts payable and purchasing procedures and record keeping 
  • Assist with updating client records, employee directories and email lists 
  • Create reports, forms and assist with special financial projects 
  • Other duties as assigned

Qualifications:
  • Must be highly organized with a strong attention to detail
  • Excellent customer service and communication skills
  • Good critical thinking skills and ability to work well independently
  • Ability to exercise good judgement and discretion with confidential materials
  • Knowledge of Microsoft Office software programs is required; Extensive experience using Excel is highly beneficial
  • Working knowledge of basic accounting and financial procedures is preferred
  • Accounting or Business major is preferred
