UNION - Office Assistant (Building Operations)

NOW HIRING FOR UWINTERIM AND SPRING SEMESTER 2019

POSITION SUMMARY:
 
Will be responsible for assisting the Building Operations Supervisors and staff in various areas, including purchasing, hiring, attendance and performing routine clerical duties according to established procedures in support of departmental guidelines.
 
REPRESENTATIVE DUTIES:
 
Assist Building Operations supervisors and leads in the daily operations of the Building Operations office, carrying out assigned tasks in a timely and efficient manner.
Type letters, meeting notes, memorandums, reports, purchase orders, and other materials for various Student Union projects.
Maintain filing systems for projects, requisitions, invoices, credit card statements, etc.
Receive and direct visitors to appropriate personnel; field and direct incoming telephone calls; and assist other Student Union departments and patrons with special requests.
Organize and manage electronic work orders; clarifying, fielding and following-up when necessary
Maintain Custodial and Mechanical Services inventory of supplies, parts, materials and equipment, streamlining to remove duplicate products whenever possible.
Purchase supplies, equipment, parts, materials and services for the departments by requesting bids and specifications from multiple vendors and contractors; track orders to ensure timely delivery and schedule repair services as needed.
Track student attendance based on the departmental attendance policy and compose disciplinary letters when necessary.
Create and maintain student employee work schedules in accordance with operational and budgetary needs.
Assist Building Operations Supervisors in the recruitment, interviewing, hiring, and orientation processes of student employees.
 
ADDITIONAL DUTIES:
 
Other duties as assigned.
 
QUALIFICATIONS:
 
Must be computer proficient, having experience with word processing and Microsoft Office
Must have excellent interpersonal skills using tact, patience, and courtesy, including proper telephone etiquette.
Ability to communicate effectively, both verbal and written, including knowledge of correct grammar, spelling, punctuation, and vocabulary.
Must be highly organized with strong attention to detail, and able to handle complex tasks efficiently and accurately.
Basic knowledge of custodial equipment and products, electricity, plumbing, HVAC and office supplies is beneficial.
 
PHYSICAL REQUIREMENTS:
 
Ability to use all office equipment for extended periods of time
Must be able to repeatedly lift and carry objects up to 50 lbs.
Must have valid WI driver’s license, or ability to obtain driving permission
