Office Assistant- 20|20 Catering

The primary responsibility of this individual is to provide office support to the 20|20 Catering office staff. The office assistant will also function as a sales contact for clients, assist clients in menu creation, schedule events, order food and small equipment for custom requests, as well as distribute service orders to all departments involved. The office assistant will be the main point of contact when clients contact the office via phone, email, or in-person. We are looking for a student worker with a go-getter attitude, good organizational skills, and professional customer service. The abilities to work with limited supervision and multi-task are important.

 

 
Duties:
 
  • Provide desk and telephone coverage in 20|20 Catering department office, and direct visitors/callers to appropriate parties.
  • Monitor operations assuring clients are receiving professional and courteous service.
  • Receive event inquiries from clients via phone, email, fax or in-person.
  • Meet with clients to determine their catering needs, purpose and requirements.
  • Counsel clients and assists them in creating menus. Help determine appropriate portions and amounts of food based on number of attendees at an event and client budget. Convert or extend recipes as needed to comply with the client's needs, dietary restrictions and suggests alternate ideas and or menus.
  • Order products for replenishment of stock, needs of the event (including alcohol), and special requests of the client and special needs of the department.
  • Create tools/checklists to assure proper follow up and follow through with clients.
  • Schedule catering services for events.
  • Present and display all catering products and services to assure attractive and positive images are portrayed for the department.
  • Attend all catering related meetings.
  • Review catering orders for invoicing.
  • Exercises independent judgment in organizing calendars and scheduling appointments for professional staff engaged in the activities around assessment and learning outcomes. Knowledge of campus priorities, legal responsibilities, and divisional processes is required to establish priorities. Uses flexibility and follow through to manage calendar changes due to changing priorities.
  • Interprets UW System, university and department policies and guidelines and disseminates the information to internal and external customers.
  • Other duties as assigned.
