Student Project Coordinator.
SUMMARY
The Project Coordinator provides administrative support to the UITS Project Management Office. This includes assisting in project management, business analysis, communication / training efforts, and other administrative assistant duties as assigned. This position is guided by the Student Supervisor and helps ensure the successful implementation & execution of large campus IT projects, as well as provide training and support to project stakeholders.
REQUIRED QUALIFICATIONS:
- Exceptional organizational skills including attention to detail, multitasking, dependability, and punctuality.
- Ability to work independently and remain productive without direct supervision.
- Ability to work well in a team environment and collaborate with others to meet specific deadlines.
- Excellent client-facing and internal communication skills (verbal, technical, and written).
- Ability to perform routine office duties such as creating and maintaining documentation, note taking, and filing / record keeping.
- Ability to work effectively with faculty, staff and fellow student employees in a professional environment.
- Ability to lift 20 lbs. repeatedly, and stand for long periods of time (tabling at various events, distributing print collateral around campus, etc.)
- Must abide by UITS work rules/practices specifically outlined but not limited to the Student Employment Handbook and handbooks and/or rules outlined by UITS and UWM.
PREFERRED QUALIFICATIONS:
- Knowledge of and/or experience using UWM IT systems such as Office 365,
- Knowledge of and/or experience in project management, business analysis, communications, or related fields.
- Experience in training, and/or customer service.
- Knowledge of and/or experience using project management tools such as SharePoint & Microsoft Project.
JOB FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:
- Attend projects meetings taking detailed notes, identifying action items, and providing input when necessary.
- Assist with project research, data gathering, and analysis.
- Assist with creating, organizing, and maintaining comprehensive project documentation such as work breakdown structures, communication plans, training & support plans, and any other necessary project documentation.
- Assist with coordinating internal resources to help ensure flawless execution of projects that are delivered on time, within scope, and within budget.
- Assist with developing high-quality information assessments such as business cases, requirements specifications, feasibility studies, process maps, etc.
- Assist with the development and management of internal and external communications such as drafting content.
- Assist with the design and development of training programs & resources and provide training to project stakeholders when necessary.
- Document and organize information from meetings and/or assessments and maintain accurate email lists of all meeting attendees.
- Schedule and/or facilitate appointments and meetings.
- Other duties as assigned.
