Administrative Assistant, Research Services
Job Summary: Support business office financial processing and reception tasks
This position will work closely with the business office staff, which includes an office manager, senior financial specialist, and business director. It will also regularly work with the research lab managers, Dean’s Assistant, and facilities director.
Key areas of responsibility:
Accounts Receivable Support - Research Services 75%
Process monthly rental payments for non-UWM occupants
Prepare fleet billing
Prepare general research lab internal billing
Faculty lab billing
Draft monthly internal invoices as needed
Create ad hoc internal invoices as needed
General front office support 25%
Answer calls from main lines
Assist with events during shift
Check common areas and rooms during shift
Manage deliveries & mail during shift
Support front office staff as needed
Minimum Qualifications:
One year experience in administrative office management in a professional setting
Evidence of excellent written communication skills, including attention to detail in written work
Organizational skills, as evidenced by experience organizing the work of others
Experience using MS Office 365 (Outlook, One Drive, SharePoint, Excel and Word)
Preferred Qualifications:
Experience coordinating, processing, and tracking financial transactions or similar records
Experience in a customer facing role providing accurate information to users face to face, via phone and/or through written methods
